PERMANENT FULL-TIME

The Tilbury District Family Health Team (TDFHT) is seeking a dynamic individual with a collaborative attitude who can lead and navigate the clinical and administrative teams, processes and changes while ensuring high levels of staff, physician and patient satisfaction. You will work closely with the Executive Director and leadership team to support the vision, mission and strategic plan of TDFHT resulting in outstanding patient care.

The Manager, Operations & Culture will oversee clinical services, staff engagement, project management, performance evaluations, scheduling, health promotion, and community partnerships. Key responsibilities include supporting the strategic plan and organizational goals, fostering a positive and inclusive workplace culture, supporting compliance with privacy and ministry reporting requirements, and staying informed on industry trends.

Qualifications: A bachelor’s degree in health sciences, health administration, business management, or a related field (or equivalent experience); Proven experience in operations management, preferably in healthcare; Strong leadership skills with a track record of building positive workplace cultures through engagement and motivation of staff; Demonstrated competence in project management, process/quality improvement, strategic planning, performance measurement, and evaluation; Excellent written and verbal communication skills with advanced facilitation and presentation skills. Demonstrated ability to formulate and communicate actionable recommendations informed by evidence; Experience in team leadership and mentorship, with highly developed negotiation and conflict resolution skills; Ability to manage multiple priorities in a fast-paced environment; Knowledge of clinical operations and medical administrative processes is an asset. As a condition of employment, a vulnerable sector police clearance is required as is proof of COVID-19 vaccination.

Summary:
The Manager, Operations & Culture will work closely with the leadership team to support the vision, mission and strategic plan of TDFHT resulting in outstanding patient care. This requires a dynamic individual with a collaborative attitude who can lead and navigate clinical and administrative processes and changes while ensuring high levels of staff, physician and patient satisfaction.

Accountability:
The Manager, Operations & Culture is accountable to the Executive Director.

Duties and Responsibilities:
• Management: Oversee clinical and administrative related services, ensuring high-quality support to those teams. Collaborate with senior management to implement change management strategies and plans to minimize any adverse effects of organizational change, specifically the human aspects and effects on staff and patients. Act as a sounding board and liaison between staff and senior management, ensuring open communication and a collaborative approach to problem-solving resulting in a healthy and positive workplace. Maintain a strong understanding of privacy practices and perform periodic privacy audits.
• Strategic Planning: Support strategic planning and organizational development efforts, contributing to the continuous improvement of services and workplace culture.
• Staff Engagement: Proactively engage with clinical and administrative staff to address concerns before they escalate, improve working relationships, and foster a positive, inclusive culture. Lead initiatives aimed at boosting employee morale, productivity, and retention. Collaborate with Human Resources to ensure exit interviews are conducted and concerns are addressed.
• Project Management: Ensure that assigned projects are delivered with due consideration to the identification and control of project scope, schedule, cost and the management of associated risks. Use a “best practices” approach in seeking new methods, systems, evidence and analysis to support continuous quality improvement in the delivery of services. Recommend innovative/creative policies and business processes for improving organizational effectiveness, efficiency, experience.
• Performance Evaluations: Conduct annual performance evaluations for clinical and administrative staff, fostering professional growth and ensuring alignment with organizational goals. Monitor performance metrics and implement strategies for operational efficiency and staff satisfaction.
• Team Scheduling: Coordinate scheduling for nursing and clerical teams, especially on days requiring additional physician support. Oversee vacation approvals and ensure optimal staffing levels. Coordinate and post Urgent Care schedule. Update IHPs & Physician schedule templates in the Electronic Medical Records (EMR).
• Health Promotion: Work with the TDFHT team and partners to develop and implement health promotion & prevention programs, aligning with the current needs of the TDFHT. Design and produce health promotion and prevention materials. Oversee TDFHTs social media presence, based on the health promotion plan.
• Medical Directives: Develop, implement, and oversee medical directives to ensure consistent, high-quality patient care.
• Clinical Student Coordination: Oversee the placement and mentorship of clinical students, fostering a supportive learning environment.
• Reporting: Support the preparation and submission of reports to Ontario Health, ensuring accuracy and timeliness. Stay current on regulatory requirements.
• Community Partnership Support / Networking: Cultivate and maintain relationships with community partners to enhance patient care and service delivery. Attend and contribute to partner meetings, such as the Best Practice Spotlight Organization (BPSO) and other CKOHT Projects and Initiatives, and provide thorough reporting on relevant topics to the leadership team.
• Continuous Learning: Stay informed on industry trends and best practices in healthcare administration and workplace culture, applying this knowledge to drive innovation within the organization.
