MEDICAL OFFICE ASSISTANT
TEMPORARY PART-TIME (20 hours a week)

The Tilbury District Family Health Team (TDFHT) is seeking a motivated and detail-oriented Medical Office Assistant to join our team on a temporary part-time basis. The Medical Office Assistant is responsible for ensuring efficient and appropriate operation of the TDFHT. The Medical Office Assistant provides administrative support for the team as required in a professional and friendly manner, thus contributing to the efficient and effective care of patients. This role is crucial in ensuring that our office runs smoothly during evening and weekend hours. (Hours required to work for this position are Monday to Thursday: 4:00 PM – 8:00 PM and Saturday: 8:00 AM – 12:00 PM)

Qualifications: Office Administration Certificate – Medical, 2-5 years related experience, preferably in a healthcare setting, Proficiency in the use of computers and various software applications – Accuro is an asset, Knowledge of medical terminology and clinical procedures, As a condition of employment, a vulnerable sector police clearance is required and you are required to submit proof of COVID-19 vaccination.

POSITION DESCRIPTION

Job Title: Medical Office Assistant

Reports to: Medical Office Lead on Behalf of the Executive Director

Status: Temporary Part-time (Hours are Monday to Thursday: 4:00 PM – 8:00 PM and Saturday: 8:00 AM – 12:00 PM)

Summary:
Medical Office Assistant is responsible for ensuring efficient and appropriate operation of the Tilbury District Family Health Team (TDFHT). The Medical Office Assistant provides administrative support for the team as required in a professional and friendly manner, thus contributing to the efficient and effective care of patients.

Accountability:
This position reports to the Medical Office Lead.

Duties and Responsibilities:
• Receives patients, answers telephones, this includes patient scheduling and patient call backs.
• Enters accurate and pertinent patient information into the Electronic Medical Records
• Prompt attention to clinical and physician/provider requests and physician tasks
• Handles correspondence, arranges and notifies patients of specialist appointments and laboratory services, referrals, books tests and handles correspondence regarding Rx medical prescriptions
• Document scanning and document faxes indexing into patient medical records
• Manages patient information in a confidential and professional manner
• Insurance claim management and third party billings
• Compliance with special medical regulation required
• Supports programs and services in program preparation and delivery and proposal management – researches, complies and provides information to interdisciplinary team members to assist in their program planning activities
• Patient enrollment specialist / Ongoing roster project
• Bookings for drug representatives and lunches

• Uphold TDFHT policies and procedures
Qualifications and Education:
• Office Administration Certificate – Medical.
• Two to five years related experience, preferably in a health setting.
• Proficiency in the use of computers and various software applications, – Accuro is an asset
• Knowledge of medical terminology and clinical procedures

• Office Administration Certificate – Medical.
• Proof of COVID-19 vaccination
• As a condition of employment, a vulnerable sector police clearance is required
• Due to the nature of the position, flexible hours are required including evenings until 8:00 p.m. You may also be required to work out of either of our office in Chatham or Tilbury.
